Part-Time Life/Health Administrative Assistant
Scope of Responsibilities – Executive Assistant / Insurance Operations Support
- Develop a thorough understanding of group medical insurance carriers, products, and underwriting requirements.
- Provide administrative support throughout the implementation of new group medical plans.
- Obtain outstanding information requested by carrier representatives to ensure timely case installation.
- Provide ongoing service support to employer groups after implementation, including:
- Assisting with ID card requests
- Processing employee additions and terminations
- Resolving billing issues
- Coordinating with carriers on eligibility and administrative matters
- Responding to client service requests as they arise
- Learn ancillary insurance products and carrier offerings, including dental, vision, life, disability income (DI), and other voluntary benefits.
- Assist with preparing quotes and implementing ancillary benefit plans for employer groups.
- Coordinate with carriers to ensure accurate and timely case processing.
- Assist with the annual renewal process for my Small Group Insurance (SIG) book of business.
- Gather renewal information and assist with marketing renewal opportunities.
- Coordinate renewal presentations and schedule meetings with employer groups.
- Track renewal deadlines and ensure all necessary documentation is completed on time.
- Become knowledgeable about our life insurance carriers, products, and General Agencies (GAs).
- Prepare life insurance and long-term care applications following the sale.
- Work closely with underwriters throughout the underwriting and approval process.
- Monitor outstanding requirements and communicate updates to clients as needed.
- Assist with quoting and completing applications for Blue Cross Blue Shield (BCBS) Medicare Supplement Plan G and other Medicare products as appropriate.
- Ensure applications are complete and submitted accurately.
- Assist with follow-up requirements during the enrollment process.
- Maintain and organize my calendar.
- Schedule client meetings, renewal appointments, and carrier calls.
- Coordinate meeting logistics and appointment reminders.
- Serve as a primary point of contact when I am traveling or otherwise unavailable.
- Ensure clients, prospects, carriers, and business partners receive prompt and professional responses.
- Triage requests, resolve routine issues independently when appropriate, and communicate urgent matters requiring my attention.
- Help maintain continuity of service to ensure a high level of client satisfaction.
- Continuously expand knowledge of insurance products, carrier procedures, compliance requirements, and agency operations.
- Develop the skills necessary to provide increasingly independent support across all areas of the business while maintaining exceptional client service standards.
